Office Assistant

For our Landis+Gyr's Prague office, we are looking for a well-organized and customer-oriented colleague to support our office operations on a part-time basis (approx. 50%). As an Office Assistant in one person, you will be the first point of contact for employees, office visitors, and customers. As part of an international and diverse team of sales, technology, and shared services functions, you will report to the Office Manager and share the workload with a dedicated receptionist and further collaborate with the Sales Support Specialist.

In this role you will:

  • Support outgoing and incoming internal travelers in arranging for their business travels
  • Administer mobile phones agenda (purchase, delivery, distribution, administration, communication with provider, and invoicing)
  • Oversee management of office supplies (stationery, refreshment, ad-hoc supplies of goods and/or services)
  • Maintain the office environment neat and clean (arrange repairs, replenishment of hygienic supplies, etc.)
  • Administer employee, customer, and vendor data in various internal systems and tools
  • Run errands to ensure ad-hoc supplies incl. refreshments, access to parking, authorities, etc.
  • Oversee our offices with the aim to ensure a welcoming and safe work environment for the whole team and search for appropriate solutions for furnishing, and support with moves within the office
  • Support organisation of company events (Summer teambuilding, office events, customer conferences)
  • Support of onboarding and offboarding activities
  • Support reception operations in case of the receptionist's absence (incoming/outgoing daily mail, incoming calls, visitors management, distribution of documents to employees, etc.)
  • Deputize Office Manager in case of her absence

To be successful, you already have previous experience from an administrative job; work experience in corporate office operations is a big advantage. You are naturally helpful and put the customer first. You are able to manage time efficiently by setting priorities for the day. You enjoy both routine tasks and constantly changing priorities. You are creative. You have practical knowledge and skills in using Microsoft 365 applications, notably Excel, Word, SharePoint, and Teams. You communicate in English in a professional way. You are comfortable communicating in Czech/Slovak and English, face-to-face, via phone, or video-conferencing with diverse internal and external stakeholders.
