Job Description
  • General administration
  • Organize and schedule meetings and caterings within the office – refreshments, meet and greet, provide logistics/guidance to getting to building etc.
  • Organize external client events, conferences
  • Contact person for all mailing, shipping
  • Monitor and maintain office supplies inventory
  • Manage relationships: vendors, service providers and landlord, including related internal administration / processes
  • Onsite help with HR related documentation
  • Coordinating movement of office and lead the discussion with facilities on locations, design
  • Maintain a safe and secure working environment in respect of all health & safety regulations (Visa rules and regulation, Czech Rep. law)
  • Point of contact for Security London / Facilities
  • Understand organization and how to “get things done”
  • Demonstrate comfort with purchase card, occasional Purchase Order & Invoice support
  • Work with other administrators in a cooperative way while representing our team – in a manner that is consistent with the Visa Leadership Principles that is consistent with the Visa Leadership Principles

Administration exclusive for Group Country Manager

  • Stand-in PA for Group Country Manager of Czech, Slovakia and Hungary
  • Managing the executives calendar on special occasions
  • Be highly proactive and take ownership to anticipate needs and adept at managing-up and downstream to ensure deliverables are met timely and accurately
  • Ability to decline quickly, simply and professionally
  • Understand organization and how to “get things done”
  • Electronic filing, expense reporting & record keeping
  • Demonstrate comfort with purchase card, occasional Purchase Order & Invoice support
  • Work with other administrators in a cooperative way while representing our team – in a manner that is consistent with the Visa Leadership Principles

Qualifications

What we're after…
  • Good command of English as you will be using it on daily basis
  • Good knowledge of MS Office package (Word, PowerPoint, Outlook, Excel)
  • 2-5 years of administrative experience, with some event planning and/or project coordination experience
  • Customer service-focused, with a professional presence and a confident and approachable personality
  • Capable of working with discretion and tact
  • Proficiency in managing calendars and organizing travel
  • Experience creating and/or supporting presentation development for senior management
  • History of creative problem solving, ability to work well collaboratively and under pressure
  • Energy, optimism, and passion for administrative work – we want you to make the office working as well-oiled machines
  • Financial and cost management experience
  • Facilities Management experience
  • Excellent organizational skills, with focus on collaboration, interoperability & working against set deadlines.
